How to Organise Headshots for a Whole Company
A large team headshot day runs smoothly when the schedule, visual style, staff guidance and delivery process are agreed in advance.

Start with the outcome. Decide where the headshots will appear, whether every person needs the same crop and background, and how closely new photographs must match any existing team portraits.
Choose a space with enough room for lighting, the camera position and a short waiting area. A meeting room can work well if furniture can be moved. Natural light is useful in some situations, but a controlled lighting setup is often more consistent when people are photographed throughout the day.
Build a realistic schedule and nominate one internal coordinator. Short appointments can work when the setup is fixed, but include breathing room for late meetings, staff changes and people who need a little more guidance in front of the camera.
Send preparation information before the session. Staff should know the purpose of the photographs, what to wear, when to arrive and that they will be directed through the process. That reassurance makes a noticeable difference.
Agree on how selections will happen. Some businesses nominate one approver, while others allow each person to choose a favourite from a private gallery. Decide this early so the retouching and delivery workflow stays organised.
Finally, plan for new starters. Recording the lighting, background, crop and file specifications makes it easier to add people later without rebuilding the whole visual style.
